What is SHIFTFM?
SHIFTFM is a facilities-management system that combines a software platform, remote operations, and managed FM scope according to the customer need. The Platform connects facilities, assets, incidents, maintenance, recurring work, procurement, documents, teams, and reporting, while the service-led products extend that operating model into managed follow-up and field delivery when required.
Who is SHIFTFM designed for?
It is designed for organizations and teams that manage one facility or multiple facilities and need to organize daily execution, follow assets, maintenance, and recurring work, and connect field activity to management visibility.
Is SHIFTFM a traditional ERP?
No. SHIFTFM is not intended to be a full financial or administrative ERP for every function of an organization. Its main focus is facility operations: what should be done, who is responsible, what its status is, what its history is, and what requires follow-up or a decision.
Can we start with only one facility?
Yes. The minimum starting point is one facility, and additional facilities can be added later inside the customer environment according to the subscription and required capacity.
Does each customer have an independent environment?
Yes. A dedicated operating environment is prepared for the customer to organize its work and separate its data from other customers. That environment can include more than one facility according to the subscribed scope.
How is subscription pricing determined?
Pricing depends on the product selected. Platform plans are priced mainly by facility count and included capacity. Remote Operations and Managed FM are scoped according to the service scope, facility profile, and operating requirements.

What can field teams do from mobile?
Fast mobile interfaces are designed for work done in motion, such as submitting a maintenance or procurement request, registering an asset, receiving or handing over an asset, and following permitted operational actions without entering the full management interface.
How does SHIFTFM manage recurring operations?
Recurring work, the relevant facility, the responsible person, and the execution cycle can be defined once, then each execution is followed as its own record with documentation, evaluation, delay or overrun status, and the next cycle, while preserving the history of earlier cycles.
Does the platform only mark recurring work as completed?
No. The goal is to follow execution quality, not simply mark something complete. The platform can preserve execution documentation and evaluation, follow delayed or overdue work, and keep the earlier operational record available for review.
What does SHIFTFM provide for procurement workflows?
SHIFTFM allows operational procurement requests to be recorded and followed while linking them to the facility, their status, and responsibility, so the requests remain part of the operational record instead of becoming disconnected from the work context that created them.

How are incidents and maintenance requests followed?
The report or incident remains the main record, and follow-up actions, maintenance work, and updates are preserved beneath it until closure. That makes it possible to see what happened, who handled it, what was done, and what is still open.
What does SHIFTFM provide for asset management?
The platform preserves the asset record together with its location, condition, importance, responsibility, warranty details, and maintenance contracts. Asset movement can also be documented, including transfer, handover, retrieval, sending for maintenance, storage, and return to service.
Can an asset be linked to a facility, location, and responsible person?
Yes. The asset record is designed to preserve its operational context, including the facility, location, responsibility, and status, while also keeping movement history instead of showing only the current location.

What is meant by a direct report?
A direct report can be exported to gather important operational and administrative details from facilities, assets, incidents, maintenance, procurement, recurring operations, documents, and teams according to the scope of the report, so the information is ready for review and decision-making without manually rebuilding it from different interfaces.
Do reports depend only on KPI indicators?
No. SHIFTFM uses indicators where they are useful, but its reporting philosophy also depends on the operational record itself: status, history, responsibility, delays, coverage, and the actions that actually occurred. The goal is to support decisions with understandable information, not simply increase the number of indicators.
What types of documents can be managed?
The platform is intended for documents genuinely related to the facility, such as licenses, permits, engineering drawings, safety and inspection certificates, operating and maintenance contracts, asset warranties, operating manuals, technical documents, handover records, maintenance reports, and recurring-work documentation.
Is SHIFTFM a general file repository?
No. The document and attachment space is intended for operational use connected to facilities, assets, and work. It is not meant for personal files or general commercial files unrelated to facility management.
How are sensitive operational documents handled?
The organization controls access according to the permissions granted to each user. Access to operationally sensitive documents can be limited to users whom the account administrator authorized for facility management, document access, and reporting.

What is the difference between an Administrative User and a Request User?
An Administrative User manages the operational modules that the organization allows that person to access, such as facilities, assets, incidents, recurring operations, and reporting. A Request User has a simpler interface mainly intended for submitting and following approved maintenance and procurement requests.
Do permissions work the same way for all users?
No. The organization’s account administrator defines each user’s permissions according to role. A permission also does not open a function that is not already included in the customer’s plan; the plan defines the included capabilities, and permissions define who may use them inside the organization.
What does Full Permissions mean?
It means full permissions inside the functions and modules included in the customer’s subscription. It does not open modules or services that the customer has not subscribed to.
Can a user seat be reassigned from one employee to another?
The organization’s account administrator may reassign a user account or seat when staffing changes, provided the former user’s access is ended or adjusted and the organization can still identify the actual person who performed each action.
Plans & Capacity

What happens when a plan limit is approaching?
Plan limits reflect the commercial capacity included in the subscription. As some limits are approached, the platform may notify the user, and once a limit is reached that does not become abuse by itself; additional capacity or a higher scope can be requested as needed.
Is reaching the maximum included plan capacity a violation?
No. Fully using the included capacity is legitimate use. Abuse relates to trying to bypass limits technically, creating fake or intentionally duplicated data, using automation without authorization, or uploading data unrelated to the operational purpose in order to consume resources or evade controls.
Can assets, users, or storage be expanded?
Yes. Additional capacity can be requested according to the customer’s needs and the operational profile of the facility. That may include assets, users, recurring operations, documents, storage, or incident capacity.
Data & Security
Customer data ownership, supported data types, and the general processing/security position.
Does SHIFTFM ask for sensitive personal data?
SHIFTFM does not ask for sensitive personal data as part of normal platform use. The usual data focus is professional work information, permissions, and the operational records needed to manage facilities.
Where is platform data processed?
SHIFTFM may rely on technical providers and infrastructure located inside or outside the Kingdom depending on service components. The Privacy and Data Processing materials describe the general framework for service providers and for processing or transfer outside the Kingdom when applicable.
Who owns the data entered by the customer?
Customer data entered into the platform remains owned by the customer or the relevant rights holder as applicable. SHIFTFM does not acquire ownership of that data merely because it stores or processes it. The Terms of Use and Privacy Policy explain this in more detail.
Trial & Commercial Scope

Is a trial available?
A trial may be provided according to the scope and duration defined in the invitation or offer provided to the customer. Its purpose is to evaluate whether SHIFTFM fits the operation before moving to a paid subscription.
What happens to trial data if I do not subscribe?
When a trial ends without conversion to a paid subscription, the trial environment may be closed and its data may be removed according to the applicable trial closeout cycle. Customers should save any data they need before the trial period ends if they do not intend to continue with the service.
Is Remote Operations part of the Platform subscription?
No. Remote Operations is a first-class product of its own. It uses SHIFTFM as the operating layer, but commercially it is sold separately from the Platform subscription. It is a managed facilities-operations service scoped according to the customer need.
What is Remote Operations?
Remote Operations is a managed facilities-operations service in which the SHIFTFM team receives, coordinates, follows up, documents, and closes operating work remotely through the platform while the customer keeps approval and visibility.
What is Managed FM?
Managed FM combines Remote Operations and agreed field facilities-management scope. It may include inspections, maintenance coordination or execution, asset survey, registration, tagging, preventive work, contractor supervision, and field follow-up according to the contract scope.
